At AleaIT Solutions, we believe in transparency and professionalism. This policy outlines our guidelines for project cancellations, billing disputes, and refunds.

1. General Refund Policy

We do not offer refunds for services once work has commenced, including project planning, wireframing, or any form of delivery. Our team invests time, effort, and resources immediately upon engagement.

2. Milestone-based Payments

  • Milestones are pre-agreed deliverables with associated billing.
  • Completed milestones are non-refundable once invoiced or delivered.
  • Clients are advised to thoroughly review milestone acceptance prior to approval.

3. Monthly Retainer / Subscription Services

  • Monthly recurring services (maintenance, development support, social media management, etc.) are non-refundable once a billing cycle has begun.
  • Cancellation of ongoing services must be communicated before the next billing cycle to avoid additional charges.

4. Hourly Billed Engagements

  • Hourly projects are tracked via tools like Hubstaff, TimeDoctor, or other mutually agreed software.
  • Tracked hours are final and non-refundable.
  • Clients agree not to dispute valid hourly invoices or initiate chargebacks once work is logged and submitted.

5. Chargebacks and Disputes

  • Initiating a chargeback for valid invoices is a breach of contract and may result in immediate project termination, blacklisting, or legal action.
  • We reserve the right to report unprofessional behavior or non-payment to appropriate platforms or agencies.

6. Cancellations

  • Clients may cancel a project in writing. However, any completed work or hours spent are billable and non-refundable.
  • In cases where a project is paused for more than 30 days without written agreement, it may be marked as closed, and a re-initiation fee may apply.

7. Requesting a Refund

Although refunds are rare and discretionary, any requests must:

  • Be submitted in writing
  • Be sent to [email protected]
  • Clearly specify the reason for the refund request

We will review the request within 5–7 business days. Approval or rejection is at AleaIT’s sole discretion.

8. Exceptions

  • Refunds may be granted in the event of duplicate payments or billing errors—subject to internal review.
  • Third-party costs (hosting, domains, licensed software, paid tools) are non-refundable under any circumstance.
